Position Summary
The Executive Assistant provides high-level administrative and operational support while serving as a key point of contact for staff, board members, volunteers, donors, and community partners. This role manages executive scheduling, supports board operations, coordinates events, maintains organizational systems, and ensures day-to-day office efficiency.

Position Summary
The Executive Assistant provides high-level administrative and operational support while serving as a key point of contact for staff, board members, volunteers, donors, and community partners. This role manages executive scheduling, supports board operations, coordinates events, maintains organizational systems, and ensures day-to-day office efficiency.
Key Responsibilities
- Executive and Board Support
- Manage CEO calendar, meetings, and scheduling priorities
- Prepare and distribute reports, presentations, and board materials
- Coordinate board and internal meetings, including logistics and note-taking
- Maintain contact lists and organizational records
- Handle confidential information with discretion
Office Administration
- Serve as first point of contact for visitors, calls, and general inquiries
- Manage mailings, office supplies, and printed materials
- Maintain organized office, storage, and supply systems
- Coordinate office operations and administrative processes
Organizational Compliance and Administration
- Track licenses, permits, filings, and regulatory requirements
- Support document management, including employee records and acknowledgments
- Coordinate W-9 collection and vendor documentation
- Assist with maintaining tax-exempt purchasing status
Vendor and Facilities Coordination
- Manage vendor relationships and service agreements
- Coordinate equipment maintenance and office needs
- Support administrative purchasing and expense tracking
Event and Travel Coordination
- Coordinate logistics for meetings, conferences, and events
- Assist with staff and leadership travel arrangements
- Support volunteer recognition and organizational events
Data Management and Volunteer Support
- Assist with donor acknowledgments and gift tracking
- Track volunteer hours and coordinate office volunteers
Employee Engagement and Organizational Support
- Coordinate staff recognition and milestone celebrations
- Support wellness and safety initiatives
- Assist with Microsoft Teams and internal systems organization
- Provide general administrative and project support
Qualifications
Required
- Associate degree or equivalent experience
- 3+ years of administrative support experience, preferably supporting leadership
- Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
- Strong organizational, communication, and time management skills
- Ability to manage multiple priorities and maintain confidentiality
Preferred
- Nonprofit experience
- Experience supporting boards or committees
- Familiarity with CRM or donor databases (such as GivEffect)
- Experience with event coordination and compliance tracking

- Salary: $40,000–$50,000 annually
